How to write a quote
Creating a price quote with this free generator takes three steps:
- Add your details. Enter your business name and address under From, then your client's details under Quote for. Set a quote number, issue date, a "valid until" date, and currency.
- List what you're quoting for. Add a line for each product or service with a description, quantity, and unit price. Line totals, the subtotal, tax, and grand total are calculated automatically.
- Download or print. Click Download PDF to save a clean, print-ready quote, or use Print to send it straight to your printer. Optionally upload your logo first to brand the document.
What to include in a quote
A clear, professional quote (or estimate) usually contains the following:
- The word "Quote" and a unique quote number for your records.
- Your business name, address, and contact details, plus the client's details.
- The issue date and a "valid until" date so the client knows how long the prices are guaranteed.
- An itemized list of goods or services with quantities and unit prices.
- Subtotal, tax (if applicable), and the total estimated price in your chosen currency.
- Terms and conditions in the notes — for example whether prices are fixed or estimated, and what happens if the scope changes.
Quotes vs invoices: what's the difference?
A quote (also called an estimate) is sent before any work begins. It tells a prospective client how much a job is expected to cost so they can decide whether to go ahead. A quote is not a request for payment — it's a proposed price, usually valid for a limited time.
An invoice, by contrast, is sent after goods or services have been delivered, and it is a request for payment by a due date. Many businesses start with a quote, get the client's approval, complete the work, then issue an invoice for the agreed amount. When you're ready to bill an accepted quote, you can use a separate invoice generator to turn it into a payable invoice.
